Privacy Policy
Last updated: 5 August 2026
This Privacy Policy applies to the AuditQMS Pro Suite website and the AuditQMS Pro Suite web application (together, the "Service"), operated by AuditQMS Pro Suite (Pty) Ltd ("we", "us", "our"). It explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
We collect information in the following ways:
- Contact and demo requests: name, work email, company, and any message details you submit through our contact form.
- Account and workspace data: when you use the AuditQMS Pro Suite application, records you create — such as audits, findings, CAPAs, risk assessments, documents, supplier records, training records, and company settings — are stored to provide the Service.
- Usage data: basic technical information such as browser type and general usage patterns, used to maintain and improve the Service.
2. How We Use Information
- To provide, operate, and maintain the Service
- To respond to demo requests, support queries, and general enquiries
- To improve the platform based on how it's used
- To meet legal and regulatory obligations
3. Where Your Data Is Stored
AuditQMS Pro Suite is built with an offline-first approach. Audit records, findings, CAPA actions, risks, documents, client workspaces, and company settings are stored locally on your device using browser storage technology, and may optionally sync to secure cloud storage where cloud sync is enabled.
4. POPIA Compliance
We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). Where our platform is used to record personal information about employees, suppliers, or customers — for example, in a Customer Complaints module or a Product Recall distribution list — that data is collected and used strictly for the compliance and quality management purpose for which it was entered, and organizations using AuditQMS Pro Suite remain responsible as the "responsible party" for personal information they capture in their own workspace.
5. Data Sharing
We do not sell your personal information. We may share limited information with trusted service providers who help us operate the Service (for example, hosting and cloud sync providers), under obligations to protect that information, or where required by law.
6. Data Retention
We retain information for as long as your account or workspace is active, or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.
7. Your Rights
Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you by contacting us at the details below.
8. Cookies
Our website may use minimal cookies or local storage to remember basic preferences. We do not use tracking cookies for advertising purposes.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
